To work stress-free even when working fully remotely, we introduce communication guidelines!
All employees at Mixtend are fully remote. Even when team members are not nearby, we believe that maintaining the same level of communication as when offline is very important for smooth work progress.
Here are the communication guidelines established by Mixtend! (*These guidelines are current as of September 2022.)

Generally online during work
Please work online except during breaks.
Give it the right status
- Meeting Appointments : Sales appointments, meetings, etc.
- Outing appointments : Longer sales appointments or meetings that include travel time
- Break ☕️: A break of about 1 hour, such as a lunch break
- Concentration time : Concentration time when you don’t reply to messages
- Personal outing : Temporary personal outing, etc.
Mention people appropriately
When sending a report or communication, be sure to mention the person appropriately.
It’s okay to send a message with a mention at any time. If you send it on a holiday or late at night, be considerate and make it clear whether the message is urgent or not.
Reply to messages that mention you as soon as possible
Make sure you are reachable during working hours and respond to messages that mention you as quickly as possible.
If it’s a holiday or late at night, there’s no need to rush to respond to messages that aren’t urgent.
Actively use Slack Calls and Huddle Meetings
If you need to have a complex discussion or type long sentences, use the Call function to have the conversation.
You can get more information out of talking in that time than by spending a long time typing.
If necessary, write down what was said during the call or huddle meeting.
After a call or huddle meeting, if necessary, you can post a text summary of what was said. This allows you to check what was said later and share the conversation with people who were not in the conversation.
Generally, talk in public channels
Generally, you should use public channels to discuss work-related matters. Being open about information opens up new opportunities to learn new information.
If it involves personal or confidential information, use a private channel or DM for personal content.
In emergencies
If Slack is experiencing an outage and cannot be used, switch to Teams.
Online meetings
In principle, have your camera on during scheduled meetings.
Facial expressions convey a lot of information. In order to maintain close communication even when you are far apart and to ensure that you can interact with each other with confidence, it is a good idea to attend scheduled meetings with your camera on as a general rule.
It may be okay to turn off the camera for quick calls or huddle meetings.
Join the meeting
Don’t just listen to what the speaker has to say, but actively express your opinion.
Google Calendar
Keep your schedule up to date
It also serves as a log for when you look back at past events. Always keep it up to date.
– Meeting schedule: If there are any time changes or rescheduling, the owner should take responsibility and update the schedule each time.
・Vacation schedule: If you are taking a vacation on days other than Saturdays, Sundays, and holidays, enter your vacation schedule.
