Personal Information Protection Policy

Mixtend Inc. ( the “Company”) provides services across a variety of media—including print publications, the internet, mobile, events, and in‑person counter services—to support people in many aspects of life. Because we handle the personal information of many customers and workers in the course of operating our business, we have established this policy based on our Code of Ethics, built a management system for personal information, and will act responsibly as a company.

Policy 1. We will specify the purposes for which personal information is used as precisely as possible and handle such information appropriately within the scope necessary to achieve those purposes. We will also take measures to prevent use beyond the stated purposes.

Policy 2. We will obtain personal information by lawful and fair means.

Policy 3. We will not provide personal information to third parties without the individual’s consent.

Policy 4. We will endeavor to take necessary and appropriate measures to prevent and correct leakage, loss, or damage, and to otherwise ensure the safe management of personal information.

Policy 5. We will endeavor to enable the individual who provided personal information to be appropriately involved in its handling and will strive to keep such information as accurate and up‑to‑date as possible.

Policy 6. We will comply with laws and regulations concerning the protection of personal information and will establish internal rules on the protection of personal information, review them on an ongoing basis, and ensure compliance.

Policy 7. We will establish a point of contact for complaints and inquiries regarding the protection of personal information and will endeavor to respond appropriately.

Handling of Personal Information

Mixtend Inc. (the “Company,” “we,” “us,” or “our”) posts this Privacy Policy to explain how we handle personal information in connection with the services we provide in accordance with this Privacy Policy (the “Services”). We respect the privacy of (i) companies, partners, and organizations that use the Services (collectively, “Corporate Customers”) and (ii) individuals who use the Services (the “Users”), and we take the utmost care in managing Users’ personal information, as defined below.

Definition of “Personal Information”

“Personal Information” means information about an individual User that can identify that User, such as name, address, telephone number, email address, school name, and other descriptions. Even if a single piece of information cannot identify a User by itself, information that can be easily collated with other information to ultimately identify a User also constitutes Personal Information.

Use of Personal Information

We use Personal Information only for the purposes set out below and will not use it beyond these purposes.

A. To authenticate Users and provide Services to Users.

B. To send communications related to the Services, including email newsletters, direct mail, and various notices.

C. To provide Personal Information to Corporate Customers based on the User’s consent or application.

D. To deliver and display advertisements and content and to provide the Services based on attribute information, device information, location information, behavioral history, and similar data.

E. To improve the Services, develop new services, and conduct marketing.

F. To conduct campaigns, surveys, user panels/monitors, and interviews.

G. To deliver URL information to individuals who send a blank email to specified addresses.

H. To confirm and respond to opinions, inquiries, and user‑posted reviews regarding the Services.

I. To investigate activities prohibited by the Terms of Use—such as applications for commercial or reuse purposes, multiple applications, transfer of rights, or registration of false information—and to conduct detailed confirmations based on such investigations.

Optional Nature of Providing Personal Information

If you do not enter required items in the relevant parts of the Services, you may be unable to receive all or part of the Services.

Provision of Personal Information to Third Parties

In principle, we will not provide Personal Information to third parties without the User’s prior consent. We will provide information only when the recipient and the content to be provided are specified and the User’s consent has been obtained. However, we may provide Personal Information without the User’s consent to the extent permitted by applicable laws and regulations in the following cases:

A. When we determine that a User may cause disadvantage to a third party.

B. When it is particularly necessary for improving public health or promoting child welfare and obtaining the User’s consent is difficult.

C. When there is a need to cooperate with national or local government agencies, or persons entrusted by them, in performing affairs prescribed by laws and regulations and obtaining the User’s consent may impede the performance of those affairs.

D. When a court, public prosecutor’s office, police, or an agency with similar authority requests disclosure of Personal Information.

E. When the User explicitly requests disclosure or provision to a third party.

F. When disclosure or provision is permitted by laws and regulations.

G. When Personal Information is provided in connection with a business succession due to merger or other reasons, and the information is handled within the scope of the purposes of use before the succession.

Disclaimers Regarding Third‑Party Provision

We assume no responsibility in the following cases where Personal Information is obtained by a third party:

A. When a User discloses Personal Information to a Corporate Customer by using functions of the Services or by other means (please contact the relevant Corporate Customer directly regarding its handling of personal information).

B. When a User can be identified unexpectedly based on information entered into the Services.

C. When Personal Information is provided by a User and used on an external site linked from the Services.

D. When someone other than the User obtains information that can identify the User (such as ID and password).

Outsourcing of Processing

We may outsource all or part of the handling of Personal Information to third‑party service providers. We remain responsible for the handling of Personal Information by such providers.

Use of Statistical Data

We may create statistical data processed so that individuals cannot be identified, based on Personal Information that we receive. We may use such de‑identified statistical data without restriction.

Changes to personal information, etc.

In principle, only the User themself may request (i) notification of the purposes of use of Personal Information, (ii) disclosure, correction, addition, or deletion of registered Personal Information, (iii) suspension of use, and (iv) suspension of provision to third parties (collectively, “Requests for Changes, etc.”). For details on how to make these requests, please contact the Personal Information Management contact point listed below. However, we may decline a request in the following cases:

A. When there is a risk of harm to the life, body, property, or other rights and interests of the User or a third party.

B. When there is a risk of significant hindrance to the proper operation of the Services.

C. When compliance would violate other laws or regulations.

If responding to a Request for Changes, etc. would require excessive cost or is otherwise difficult, and we take alternative measures necessary to protect the User’s rights and interests, we may decline the request.

Accuracy of Personal Information

We will endeavor to process Personal Information accurately. However, Users are responsible for ensuring that the Personal Information they provide is accurate and up‑to‑date.

Restrictions on Collecting Sensitive Personal Information

In principle, we do not collect Personal Information that includes the following. (This does not apply where the User provides such information voluntarily.)

A. Matters related to thoughts, beliefs, or religion.

B. Matters that may give rise to social discrimination, such as race, ethnicity, lineage, place of origin (excluding the prefecture of residence), physical or mental disability, or criminal record.

C. Matters related to workers’ rights to organize, collective bargaining, or other collective actions.

D. Participation in demonstrations, exercise of the right to petition, or other political rights.

E. Health care and sexual life.

Identity Verification

When responding to requests for disclosure, correction, deletion, or suspension of use of Personal Information, we will verify identity using information that can identify the individual (such as name, address, telephone number, date of birth, email address, member number, or password). However, if someone other than the individual obtains and uses such identifying information, we cannot be responsible for that use.

Management of “Personal Data”

With respect to “Personal Data” (having the same meaning as in Article 2, Paragraph 6 of Japan’s Act on the Protection of Personal Information), we will take necessary and appropriate measures to prevent leakage, loss, or damage and to otherwise ensure safe management of such data. When providing such data to employees or contractors (including subcontractors), we will supervise them as necessary and appropriate. Our principal safety management measures include:

A. Formulation of Basic Policy

We have established a basic policy regarding compliance with relevant laws and guidelines and our contact point for questions and complaints.

B. Development of Rules for Handling Personal Data

We have established basic handling methods for obtaining, using, and storing Personal Data.

C. Organizational Safety Management Measures

A responsible manager confirms that Personal Data is handled in accordance with the established methods, and we maintain reporting lines from employees to the responsible manager.

D. Human Safety Management Measures

We provide periodic training to employees on matters to note when handling Personal Data and include confidentiality obligations regarding Personal Data in our work rules.

E. Physical Safety Management Measures

We implement measures to prevent anyone other than authorized employees and the individual from easily viewing Personal Data and take measures to prevent theft or loss of equipment, electronic media, and documents that handle Personal Data. When carrying such items, including within our offices, we implement measures to prevent easy identification of Personal Data.

F. Technical Safety Management Measures

We clearly define devices and employees authorized to handle Personal Data and implement measures to prevent unnecessary access. We deploy mechanisms to protect devices handling Personal Data from unauthorized access and malware.

G. Understanding External Environments

When handling Personal Data in a foreign country, we assess the systems for protecting Personal Data in that country and implement safety management measures accordingly.

Collection and Use of Attribute, Device, Location, and Behavioral Data (including Cookies)

Cookies and Similar Technologies

To protect User privacy, improve convenience, deliver advertising, and obtain statistical data, we use cookies. By using cookies and technologies such as JavaScript, we may collect non‑identifying attribute information (e.g., age, gender, occupation, and region of residence—only when such items cannot identify an individual even in combination), device information, behavioral history within our sites (e.g., visited URLs, content, and navigation order), and, when using a smartphone or similar device, location information based on the User’s consent or application. Cookies and behavioral data do not, by themselves, contain Personal Information.

We may use interest‑based/behavioral advertising services to deliver appropriate advertisements to Users. To disable such services, please access the opt‑out pages provided by the advertising providers used on our Services and follow the instructions. Opt‑out page

Access Logs When Logged In

If you use the Services while logged in, we may associate your pre‑login behavioral history and similar logs with your account and use them for delivering and displaying advertisements and content and for providing the Services. To stop such advertising deliveries, please contact the Personal Information Management contact point below.

Data Protection and Storage

To appropriately protect Users’ confidential and sensitive data, we implement the following measures:

1. Encryption

Storage encryption: Personal Information and other highly confidential data are encrypted at rest so that, even in the event of a leak, the contents cannot be deciphered easily. Transport encryption: All data transmitted over the internet is protected using encryption technologies such as TLS.

2. Access Controls

Access to confidential data is limited to personnel who require it for their work, minimizing the risk of unauthorized access and information leakage.

3. Education and Training

We provide regular education and training to employees regarding information security to promote awareness and understanding in handling confidential data.

4. Periodic Review and Improvement

We periodically review our security measures and operational practices and continuously improve them to address emerging threats and technologies.

Changes to This Privacy Policy

We may change or supplement this Privacy Policy (collectively, “Changes”) in the following cases:

1. When the Changes are in the general interests of Users; or

2. When the Changes are reasonable in light of the purpose of the contract, the necessity of the Changes, the reasonableness of the contents after the Changes, and other relevant circumstances.

When we make changes, we will provide a notice at least seven (7) days prior to the effective date by posting on the Services or on a website operated by us or by other easy‑to‑understand methods. If, after notice of the Changes, a User uses the Services or does not complete the termination procedures within the period specified by us, the User will be deemed to have agreed to the Changes. However, where applicable laws require User consent for certain Changes, we will obtain consent by a method separately specified by us.
